Waagner-Biro Luxembourg Stage Systems S.A. is part of the Waagner-Biro Stage Systems Group, one of the world's largest suppliers of stage technology, with headquarters in Austria. As one of the global market leaders, the company develops and installs stage technology systems for opera houses, theatres, music halls, multi-purpose halls, and cruise ships. The main focus at the Luxembourg location in Rodange is developing the safety-related control system for the stage machinery "Computer-Aided Theatre" (C⋅A⋅T), which uses state-of-the-art technology to control the upper stage and lower stage machinery in more than 200 venues worldwide.
In order to strengthen and further expand our service department, we are looking for one or more commercial administrators for the service back office.
TASK DESCRIPTION
- Order processing from quotation creation through order acceptance to invoicing
- Communication and coordination with clients, partners and subcontractors related to offers, purchase orders and planning
- Coordination and follow-up of tasks with other internal departments (logistics, procurement, repairs, project management)
- Monthly international invoicing of customer contracts
- Procurement, coordination, invoicing and payment approval for external service providers
- Procurement and coordination of logistic services
- Preparation of information (Excel) and reports for service management and internal departments
- Preparation of evaluations for controlling (invoicing, key figures, capacity utilization)
- Contribution to the development and optimisation of back-office processes and internal workflows
- Assumption of organizational tasks (events, travel bookings, assistance to managers)
OUR REQUIREMENTS
- Commercial training or Bachelor's degree in business and management
- Experience in dealing with international invoicing and the international application of VAT and other tax areas
- Experience in the special features of public sector invoicing is desirable
- Knowledge in the review and drafting of supply and service contracts is desirable
- Structured, independent, and autonomous working style
- Willingness to acquire new knowledge
- Good knowledge of MS Office applications
- SAP knowledge desirable
- Proactive and independent way of working and hands-on mentality
- Distinct social competence and communication skills
- Very good knowledge of German, English, and French
- Good documentation and reporting skills
- Working experience with ticketing systems is desirable
