Our client, a European Bank based in Kirchberg, is looking for its future Administrative Assistant for their Legal Directorate Department. This will be a temporary contract of 2 months. Please note that this assignment may be extended in accordance with Luxembourgish law, for a maximum duration of 1 year.

Your responsabilities :
- Provide administrative and operational assistance to a legal and corporate division in its day-to-day activities.
- Contribute to the organisation and improvement of the department’s electronic document and information management.
- Review existing digital folders and files to assess their relevance, status and appropriate location.
- Assist with the identification of outdated, duplicated, inactive or incorrectly stored documentation.
- Propose appropriate actions for documents and folders, such as keeping, reorganising, archiving or removing them, in line with internal records-management guidelines.
- Support the implementation of validated document-management decisions in coordination with the relevant internal stakeholders.
- Keep clear and accurate records of the work carried out, decisions made and actions completed.
- Follow up on the progress of the clean-up and reorganisation activities and provide regular status updates.
- Assist with the preparation, formatting, scanning, copying and organisation of documents.
- Support meeting arrangements and other general administrative or secretarial activities.
- Handle sensitive and confidential information with discretion and professionalism.
- Manage several tasks and priorities simultaneously while respecting deadlines and maintaining a high level of accuracy.
Your profile :
- Completed secondary education, ideally complemented by a relevant two-year qualification or equivalent professional experience.
- At least 3 years of relevant professional experience in administrative, secretarial, legal support or a similar environment.
- Previous experience within a law firm, legal department or corporate environment would be an advantage.
- Good command of standard office applications, particularly Word, Excel, PowerPoint and Outlook.
- Comfortable using document-management, electronic filing or archiving systems; knowledge of reporting tools would be an asset.
- Able to work confidently with standard office equipment, including scanning and printing systems.
- Excellent command of English, both written and spoken.
- Strong organisational skills and attention to detail.
- Ability to manage priorities, meet tight deadlines and work independently.
- Good communication and interpersonal skills, with the ability to collaborate effectively with different stakeholders.
- A reliable and professional approach, with a strong sense of confidentiality and accountability.
- Adaptable, solution-oriented and comfortable working in a changing environment.
