The mission of the Research Support Department is to support the University's aim to pursuit research at the highest international standard, by working in partnership with its researchers to secure, manage and increase funding from external organisations globally, nationally and regionally. This Department communicates the University of Luxembourg's Research Strategy and Policy. The Research Support Department is responsible for providing an effective, efficient and proactive support structure to help and advice researchers on project acquisition, research execution, research management, result dissemination and exploitation. To that end, it gathers and distributes relevant information, proactively identifies sources of research funding, organises training, develops procedures and guidelines in line with the University of Luxembourg's research strategy, and develops and fosters relationships with funding agencies, other research organisations and potential sponsors.

Your role

As a Research Facilitator, you will join a collaborative team working closely with researchers and colleagues across the University. You will work within established processes and contribute to their continuous improvement to meet evolving funding, regulatory and institutional requirements.

Responsibilities:

  • Support researchers in identifying national, European and international funding opportunities, e.g. FNR, Horizon Europe and other competitive funding schemes e.g. US funding, with a strong focus on quality control for national funding, e.g. FNR
  • Provide a solid understanding of the project management lifecycle of research grants to provide guidance throughout the grant lifecycle, from proposal preparation to project implementation and reporting
  • Produce guidelines, checklist for funding instruments and ensure regular updates and optimization of relevant communication channels and platforms
  • Perform institutional validation, quality control and compliance reviews of funding applications, ensuring compliance with funders' and institutional requirements
  • Contribute to the dissemination of funding opportunities, policies, procedures, and good practices within the research and research support community via relevant communication channels and platforms
  • Support the optimization of digital service delivery for the performance of institutional validation, quality control, and compliance processes
  • Support the organization of information sessions, workshops, training activities, and networking events
  • Liaise with funding agencies, and relevant internal stakeholders and external stakeholders
  • Support the institutional validation, monitoring and reporting of research projects and funding-related activities
  • Maintain accurate records and contribute to the effective management of research information and data via various systems, e.g. Common Research Information System, Power BI Reports
  • Contribute to the development, review and continuous improvement of processes, tools, and guidelines
  • Work collaboratively with all central services, Research Facilitators across Faculties and Interdisciplinary Centres to share knowledge and promote best practices
  • Contribute to the delivery of efficient, proactive, and service-oriented research facilitation services

Your profile

  • Master's degree or equivalent experience
  • Strong interest in research, research funding, grant management, process improvements, digital service delivery, and the higher education environment
  • Service-oriented mindset with strong problem-solving abilities
  • Strong organisational skills and ability to manage multiple tasks and priorities
  • Ability to work effectively in a dynamic environment and meet deadlines
  • Strong attention to detail and commitment to accuracy
  • Strong interpersonal and communication skills, with the ability to interact effectively in a multicultural environment
  • Demonstrated ability to work both independently and as part of a collaborative team
  • Ability to build constructive working relationships with a wide range of stakeholders
  • Previous experience in research administration, project coordination, grant preparation and management, business process improvements , digital service delivery, and research funding would be considered an advantage
  • Familiarity with research funding programmes such as FNR and Horizon Europe would be considered an asset
  • Excellent command in English (C1) is required. Good working knowledge of French and/or German (B1) is considered an advantage
