Accounting Manager – Corporate Services


Purpose of Role:

Working in a team, the Accounting Manager (AM) will manage a portfolio of clients, ensuring deliverables are met and providing an excellent level of client services. The AM acts as intermediary between the client and the other external services providers and liaises with the representatives of the client entity.

 

Corporate Responsibilities:

Create, contribute to, and maintain an effective working relationship within the team and with the person(s) to whom he/she reports, 

Undertake his/her duties in a professional manner;

Undertake day-to-day responsibility for staff reporting to him/her where applicable;

Train junior staff reporting to him/her where applicable;

Work together with colleagues to create a supportive team environment;

Promote and support the goals of the Company;

Adhere to the Colleague Handbook guidelines;

 

Key Responsibilities:


First instance:

  • The preparation & collection of KYC, AML and Compliance related documentation for the Compliance Officer and Client Acceptance Committee;
  • The bank account opening process; 
  • Liaising with the tax/legal advisors and Notary in the incorporation/transfer process;
  • Controlling the internal system set up and complementary documentation: set up of the client company in the accounting/administration system/CDDS; indemnity agreements, domiciliation agreement, company/KYC control sheet 
  • Coordination with the Phoenix PFS Internal Administration department concerning fee structure and invoicing. 

 

On-going:

  • Dealing with queries from all client/external parties and ensuring acknowledgement and responsiveness within the Phoenix PFS generally accepted guidelines;
  • Work scheduling within team, priority setting, review and supervision of junior team members;
  • Controlling document flow and file management;
  • Responsibility for the delivery of timely client company accounting on BOB and tax related reporting;
  • Supervision of corporate secretarial tasks, incl. those relating to board/shareholders’ meetings;
  • Supervision of ongoing KYC, AML and Compliance, and periodical reviews;
  • Managing client budgets, maintaining timesheets, input on a timely basis & control own billable time, review timesheets of staff members;
  • Follow up on outstanding invoices;
  • Communication and liaising with Phoenix PFS management with regards to issue escalation, questions, worries, concerns, training and perceived staffing issues;
  • Provide support to the Fund Services Team as and when required;
  • Objective setting for more junior staff, staff appraisal process for team members.

The ideal candidate will be:


  • Fluent in English (German or French is an advantage)
  • Have three to five years of experience working in a similar position within the trust and corporate services or financial services business
  • Have an accounting, finance or economics background
  • Be client focused and commit to provide quality service to internal and external clients
  • Have a good knowledge of the Luxembourg legal and regulatory environment
  • Experience of Microsoft Office (Word, Excel, Outlook) and accounting software (preferably BOB)
