Our client, a European institution, is looking for a Governance Officer who speaks English fluently. This is a temporary contract.
Responsibilities :
- Assist in organising the Executive and Senior Management Committee and other senior management committee meetings managed by the team, including preparing agendas, distributing materials within relevant deadlines, and overseeing meeting logistics.
- Maintain accurate and comprehensive records of the Executive and Senior Management Committee and other senior management committee meetings, ensuring all decisions and action points are thoroughly documented and properly stored through minutes, summaries, and action point logs.
- Assist, as needed, in the drafting of Board briefings.
- Contribute to strengthening governance framework by proposing and implementing improvements to existing processes, policies, and procedures based on best practices.
- Promote good communication, a friendly and welcoming working environment within the team and the department and ensure effective cooperation as well as dissemination of information and knowledge sharing.
- Provide support on digital transformation initiatives relevant to the team.
- Contribute to the administration and development of the portals under the team's management.
- Proactively monitor and manage accordingly the team's shared mailboxes and contacts databases.
- Provide support and act as back-up to the other officers in the division, as necessary.
Qualifications :
- University degree, preferably at postgraduate level, in a relevant field (e.g., business administration, law, political sciences, finance) or equivalent qualification.
- A minimum of 3 years of relevant professional experience with an emphasis on previous experience with institutional, corporate and policy matters.
- Excellent command of Microsoft Outlook and Microsoft Word; good command of other Microsoft Office tools and adaptable to digital solutions.
- Excellent drafting, editorial, and presentation skills, with the ability to communicate clearly and concisely.
- Strong analytical and synthesis skills.
Competencies :
- Excellent knowledge of English. Knowledge of other EU languages would be an advantage.
- Well-developed organisational skills with ability to multitask and prioritise in a fast-paced environment, whilst working with precision and attention to detail.
- Excellent interpersonal and communication skills, with developed sense of discretion and confidentiality.
- Solid work ethic, demonstrating flexibility and ability to adapt to demands within the Division.
- Ability to work independently, as well as cooperatively within a team, fostering a good working atmosphere with constructive and positive solution-oriented attitude.
