Job Description
Fundstructuring.com S.A. is looking for a Luxembourg Corporate Services Assistant to join its Fiduciary, Legal & Risk Department.
You will support corporate, legal, and administrative activities, with a strong focus on official registrations, notarial documentation, and coordination with internal and external stakeholders.
This role requires excellent organizational skills, strong attention to detail, and frequent communication with notaries, public authorities, and internal departments such as Legal, Compliance, and Administration.
Key Responsibilities
· Handling registrations and filings with Luxembourg official and governmental registers (e.g. RCS, RBE, other authorities)
· Preparing, reviewing, and coordinating notarial documentation (e.g. incorporation documents, amendments, resolutions)
· Liaising with Luxembourg notaries, banks, service providers, and other external suppliers
· Managing Lux Trust-related matters, including Lux Trust card applications, renewals, and access rights
· Filing, archiving, and maintaining corporate and legal documentation in both physical and electronic systems
· Supporting corporate housekeeping for Luxembourg entities (statutory filings, deadlines, corporate records)
· Acting as a key point of contact between Legal, Compliance, Risk, and administrative teams internally
· Assisting with the preparation of corporate documents such as board resolutions, powers of attorney, and shareholder documentation
· Monitoring deadlines and ensuring compliance with Luxembourg regulatory and legal requirements
· Providing general administrative and corporate support to the Fiduciary, Legal & Risk department
Profile & Requirements
· Resident of Luxembourg (mandatory)
· Excellent command of English, both written and spoken (mandatory)
· French and/or German is considered an asset
· Previous experience in a fiduciary, corporate services provider, law firm, or similar environment is a strong advantage
· Good knowledge of Luxembourg corporate and administrative procedures is preferred
· Familiarity with Lux Trust, notarial processes, and official Luxembourg registers is an asset
· Strong organizational skills and attention to detail
· Ability to handle multiple tasks and meet deadlines
· Proactive, reliable, and able to work both independently and as part of a team
· Comfortable with frequent communication with internal and external stakeholders
