My client is looking for administrative support for an initial one-year consulting contract. The objective is to join a contract management team and assist with all administrative tasks.

Responsabilities:
Close collaboration with the Project Managers and officers of the External Offices unit, as well as Office Managers located in the external offices, and relevant stakeholders within headquarters is essential. This involves providing support in the preparation and review of purchasing and procurement documents, such as market analysis notes, clearance requests, and vendor registrations, in collaboration with various services within the organization and external offices, ensuring compliance with procurement procedures.
Additionally, administrative support is provided to the External Offices Unit team members throughout the Procure-to-Pay processes, along with other administrative tasks related to the unit's operations. Support is also given in the monitoring and control of the external offices' budget, including purchasing, invoice review, and approval activities, ensuring adherence to procurement procedures and guidelines.
In collaboration with the budget officer, assistance is provided to verify the accuracy of reported expenditures compared to the planned budget, calculating variations and identifying trends. Reporting related to these activities is also included.
Candidate Profile:
The ideal candidate should have experience in administrative assistance, procurement, and budget control and monitoring, preferably within an international organization or public administration. A background in contract administration or management is also important. Familiarity with EU public procurement processes and best practices is desirable, and knowledge of trends and developments in the Building and Facility Management sourcing market would be a plus.
Proficiency in Microsoft Office is required, and familiarity with the PeopleSoft application would be an asset. Strong communication skills, both written and verbal, are essential, as well as a good command of English and French. Additional knowledge of other EU languages would be advantageous. The candidate should also demonstrate tact and diplomacy.
