POSTE
For one of our clients, a European Institution located in Luxembourg Kirchberg, Sofitex Talent is currently looking for an: Operations - Administrative Assistant (M/F)
Accountabilities
- Ensure the smooth administrative management of activities within the ORM Division, including:
o Supporting and following up on requests from the Head of the ORM Division.
o Organising meetings and coordinating calendars.
o Participating in regular divisional meetings and proactively following up on decisions and action items.
o Ensuring effective communication and information sharing within the team to support the timely execution of tasks.
- Collaborate with the ORM Office-Space team on staff-related logistical and administrative matters, including:
o Coordinating the provision and maintenance of office facilities, services, supplies, and IT equipment in close cooperation with internal stakeholders.
o Managing IT and Facilities Management-related projects as required, resolving complex issues with sound judgement and initiative.
o Liaising with OPS managers and department assistants to identify and address logistical needs, including office moves, equipment, furniture, services, supplies, IT equipment, and access rights for both new and existing staff.
- Collaborate with colleagues in the Knowledge Sharing and Resource Unit on administrative matters related to the management of the temporary workforce (interims and trainees), including:
o Maintaining and updating operational dashboards.
o Coordinating and implementing requests received from operational teams.
- Contribute to a positive and collaborative working environment within the Division and the Directorate, supporting effective teamwork, efficient information flow, and the timely delivery of objectives.
PROFIL
Qualifications
- Secondary level education, ideally complemented with a 2-year certification in a relevant field (e.g. secretarial studies, business administration)
- At least 3 years of relevant professional experience in providing administrative support
- Excellent knowledge of standard MS Office Tools (Word, Excel, PowerPoint)
- Excellent knowledge of written and spoken English. Knowledge of French or any other European language would be a an advantage.

This is an opportunity for an initial contract of 2 months, with possible extensions afterwards.
Salary ranges between 3,900EUR and 4,400EUR gross per month, depending on experience.
