POSTE
For one of our clients, a European Institution located in Luxembourg Kirchberg, Sofitex Talent is currently looking for a : Legal Directorate - Administrative Assistant (M/F)
Purpose
Provide comprehensive administrative and operational support to the Corporate and Litigation Division, with a particular focus on knowledge and document management activities. The role will contribute to the effective organisation, maintenance and optimisation of the Division's electronic filing environment, while also supporting the day-to-day administrative functioning of the Division.
In particular, the temporary assistant will support the clean-up and reorganisation of the Division's institutional workspace. This will involve reviewing existing folder structures and content, assisting in the identification of documents and folders to be retained, archived, reorganised or deleted, and supporting the implementation of approved actions in accordance with the Bank's records and knowledge management requirements.
The position requires sound judgement, discretion, adaptability and the ability to manage multiple priorities simultaneously. Given the sensitive nature of the information handled by the Division, a high degree of confidentiality and professionalism is essential.
Responsibilities
- Understand the Division's filing system, document flows, folder structure and applicable naming conventions;
- Support GED Institutional Workspaces clean-up exercise:
o review the Division's GED Institutional Workspaces folder by folder, using the available inventory or cleaning worksheet;
o identify empty, obsolete, duplicate, inactive or incorrectly located folders and documents;
o record and maintain clear proposals for the treatment of reviewed content, including retention as working documents, transfer of records to Knowledge Centre or deletion.
o support the implementation of approved clean-up decisions, in liaison with the Head of Division and the lawyers, the GED team, Central Archives and the Content Management Support Team, as appropriate;
o maintain an accurate audit trail of folders reviewed, proposed actions, validations received and actions completed;
o monitor progress against agreed milestones and prepare concise progress updates.
- Carry out general secretarial or administrative duties, format, prepare, scan, copy or compile documents, organise meetings.
PROFIL
Qualifications
- Secondary level education, completed with a 2-year certification in a relevant field or secondary level education with equally qualified experience in a relevant field
- At least 3 years of relevant experience (i.e. in similar or related tasks); experience acquired as secretary/administrative or legal assistant in a law firm, corporate legal function or any other legal environment, will be considered an advantage
- Very good knowledge of the standard IT & office tools (particularly Word, Excel, PowerPoint, and Outlook), Acrobat, common office hardware (e.g. printing and scanning equipment); familiarity with Electronic Documents Management tools, electronic archiving, and reporting tools is an advantage
- Excellent knowledge of English

Salary ranges between 3,900EUR and 4,400EUR gross per month, depending on experience
