For one of our clients, a European Institution located in Luxembourg Kirchberg, Sofitex Talent is currently looking for an:
Group Risk & Compliance - Administrative Assistant
PURPOSE
S/he provides efficient and high-quality administrative assistance to the teams across the Credit and Climate Risk Department, interacts with a diverse range of counterparts and stakeholders at all levels and plays a pivotal role in the good functioning and success of the Department.
OPERATING NETWORK
S/he reports to the Head of the Group Credit Risk Policy and Oversight Division and works in the department's administrative support pool, maintaining strong, positive working relationships with colleagues at all functional levels both within GR&C as well as broadly at Bank level.
The post requires discretion, confidentiality, flexibility, and the ability to prioritise and multi-task.
ACCOUNTABILITIES
- Independently coordinate and execute a broad range of administrative and organisational responsibilities in support of the CCRD teams. This includes managing mail and document flow, maintaining physical and digital filing systems, scheduling meetings and events, overseeing shared calendars, maintaining the divisions' areas within the Document Management System (GED), updating distribution lists, and preparing documentation for approval or signature.
- Manage high-level correspondence by drafting and/or finalising responses, ensuring appropriate and timely follow-up, and adhering to relevant deadlines and protocols.
- Prepare and format complex documents and presentations, ensuring consistency, accuracy, and alignment with corporate standards.
- Collaborate closely with departmental assistants and team members within GR&C, providing operational backup when required and contributing to the overall efficiency and resilience of Secretariat operations.
- Ensure that inputs in the IT systems have the required level of quality, completeness and consistency.
- Offer guidance and support to staff across the Department on administrative and operational procedures, proactively identifying opportunities for process improvement and contributing to the development of more efficient work methods. Maintain the Department's GED electronic filing system on a daily basis, ensuring critical correspondence and documentation are appropriately archived.
- Support the preparation, validation, and dissemination of key internal documents including Notes to the Management Committee
PROFIL
- Secondary level education, ideally complemented with a 2-year certification in a relevant field (e.g. secretarial studies, Business Administration, Economics or Communications)
- Minimum 5 years of relevant professional experience at senior support level.
- Strong sense of responsibility and initiative and good organizational skills.
- Ability to work accurately under pressure, to meet deadlines and priorities.
- Excellent knowledge of standard office tools, particularly Word, Excel and PowerPoint.
- Knowledge of the Bank's core lending operations system, SERAPIS, as well as its archiving and reporting tools, including PIRAT, Business Objects and GED, would be considered a distinct advantage.
- Excellent knowledge of English and/or French (*), with a good command of the other. Knowledge of other EU languages would be an advantage.
- A strong sense of discretion and confidentiality
This is an opportunity for an initial contract of 2 months, with possible extensions afterwards.
Salary ranges between 4,450EUR and 5,250EUR gross per month, depending on experience.
