Our client is an international banking branch based in Luxembourg, reporting to senior management in London and operating in a highly multicultural environment (Europe, United States, South America).
As part of its development, the organization is seeking a Office Manager / Administrative Assistant to support the Managing Director and ensure the smooth day-to-day running of the branch on a temporary basis (1 year, with a possibility of permanent contract and the end).
Your Responsibilities:
- Managing incoming and outgoing mail, as well as parcel deliveries (regular mail, DHL, registered mail, acknowledgment of receipt, etc.)
- Welcoming and coordinating external service providers visiting the office
- Monitoring and ensuring that assigned tasks are completed as planned
- Coordinating with central teams:
- Facilities
- IT
- Security
- Ensuring that regular office maintenance is properly carried out (cleaning, office supplies, and any items required for the day-to-day running of the office)
- Anticipating office needs and ensuring the availability of necessary resources to support daily operations
- Proactively identifying any malfunctions or issues within the office environment
- Reporting incidents and coordinating with the relevant teams to ensure timely resolution
- Ensuring compliance with internal policies and standards related to office management
Your Profile:
- Proven experience as a Senior PA / Executive Assistant / Office Manager, ideally within an international or banking environment
- Strong organizational and multitasking skills
- High level of autonomy and proactivity
- Ability to operate independently without close supervision
- Excellent interpersonal and communication skills
- Fluent English (mandatory – working language)
- Fluent French (required for local supplier interactions)
