Our client, a company specialising in financial services, is looking for an Officer Manager on a part-time basis. This is a temporary contract starting as soon as possible for at least 3 months.
Responsibilities:
- Welcoming our visitors and owners of the office safety (access badge allocation and closely monitoring the process)
- Manage vendor relationships and contracts for office services, such as but not limited to landlord, cleaning company, plant / flowers, fruit delivery, coffee machine vendor.
- Handle incoming / outcoming mail : express and registered mail, contact with Post, organize express mail deliveries in Luxembourg (urgent notary documents, for example), ensuring timely actions.
- Provide administrative support to employees upon request, enhance communication at the office by mastering multimedia support and prepare presentations.
- Support the Site Leader with travel organization and expense reports submissions, as well as supporting office supplies inventory and transportation arrangements. Order and maintain Koch's merchandize items as necessary.
- Support organization of employee's events by being an active member of our 'event committee', as well as coordinating local conferences, lunches, and our upcoming new office inauguration - applying an economic thinking mindset.
- Support new joiners by setting up their workspace, prepare the welcome package and support the onboarding plan organization with the hiring supervisor.
Requirements:
- Proven experience as an Office Manager.
- Proficient in office software and communication tools.
- Identifies problems and implements solutions.
- Effective, proactive and timely communication.
- Self-driven attitude.
- Fluency in English and French is a must, and any other language will be an asset.
- Demonstrated effective verbal, written and interpersonal communication skills.
- Ability to adapt to and quickly learn new systems.
- Be solution oriented with the ability to respectfully challenge the status quo.
- Ability to organize and prioritise to effectively manage multiple tasks.
- Act as one team on the field, sharing knowledge and supporting other team members.
- A creative mindset and approach to envisioning what it could be.
