The Junior Governance Specialist supports the effective operation of governance processes within the organisation. He/She owns the end-to-end Finance Tracker, ensures accurate and timely alignment with Finance, produces and coordinates Advisory Committee materials, manages official visit logistics, ensures alignment with Legal, maintains the contractual repository, owns the team SharePoint, acts as office manager for scaleups, and ensures strong governance hygiene through calendar coordination and meeting minutes.
This role is ideal for someone early in a career in governance, finance, or project management who is highly organised, detail-oriented, and proactive.
Key Responsibilities:
- Owns and maintains the end-to-end Finance Tracker, ensuring accuracy, completeness, and weekly updates.
- Aligns financial information with the Finance team, resolving discrepancies and ensuring data integrity.
- Supports quarterly and annual reporting cycles by preparing summaries, insights, and dashboards.
- Prepares, compiles, and quality-checks Advisory Committee packs (presentations, financial summaries, briefing notes).
- Coordinates meeting dates, scheduling, and logistics with internal and external stakeholders.
- Produces high-quality meeting minutes, capturing decisions, actions, and follow-up responsibilities.
- Tracks and follows up on agreed actions to ensure governance continuity.
- Coordinates and organises official visits (executive delegations, partners, corporate visitors).
- Prepares agendas, briefing notes, talking points, and visit materials.
- Manages logistics including room bookings, catering, security protocols, and welcome arrangements.
- Works closely with the Events Specialist to ensure successful delivery of visits.
- Maintains governance calendars, trackers, templates, and version-controlled documents.
- Ensures governance processes follow internal standards and compliance requirements.
- Supports continuous improvement of governance workflows and documentation.
- Contributes flexibly to other activities across the organisation's operating model when needed.
- Strong organisational and planning skills.
- Excellent attention to detail and accuracy.
- Ability to handle sensitive information with discretion.
- Clear written and verbal communication skills.
- Strong stakeholder coordination skills, including interaction with senior leaders.
- Proficiency in PowerPoint, Excel, Teams, and SharePoint.
- Proactive, structured, and reliable with strong follow-through.
- Ability to work both independently and collaboratively.
- Bachelor's degree in Finance or a related field.
- 1 year of experience in governance, operations, finance support, PMO, or a similar role (internships included).
- Experience in preparing packs, meeting minutes, or trackers is an advantage.
